Going Green With Distributed Capture

,

Did you know that your content and document management systems have a direct impact on the environment?
Sure, it's obvious that paper use is dramatically reduced through electronic content and
document management.  However, there are even more environmental benefits, organizational efficiencies and cost savings many could achieve by changing the way they electronically capture information.
Most organizations send their documents to one central location to be scanned and captured.  This involves staff time to sort and pack documents, shipping containers that many times aren't eco-friendly and transportation costs to get documents to the centralized processing location.  It's costly, inefficient and has a high carbon impact on our environment.
The internet brought about an easier, more efficient way to capture information.  This method allows companies to capture information in a variety of locations instead of sending documents to one central place to be scanned.  The process is called distributed capture.  It is better on the environment and much better for bottom line profits.
Here's how distributed capture helps you save money and go green...

  • Since information is captured at its source, you don't pay shipping costs associated with moving and transporting paper to a centralized location.  This saves time and money and is very friendly to the environment.
  • Things are more efficient.  Documents in distributed capture systems are available more quickly (often in real time).  You can more readily automate business processes so workers do more with less stress.  Many organizations slash the time it takes for normal business processes from weeks to minutes.  You save time and money.
  • Most of us know through using email the power of electronically sharing documents and messages.  It's faster, cheaper, more efficient and easier to share with others.  The same principals apply with distributed capture processing.  The dependency on hard copy documents is reduced, saving you a fortune on paper and printing costs.  This also reduces all the costs for making, shipping and delivering paper-based documents (plus we have lots more trees).
  • Your employees will love you as well.  Web based distributed capture and content management systems support telecommuting.  People can be located anywhere in the world with web access from any web enabled device, creating a "virtual office" anywhere at any time.  Talk about improving efficiencies, slashing costs and going green?  This does it all.
  • You save on space and document storage costs.  How much space do you devote to filing cabinets, printers, copiers, etc.?  Most of it can go away and become revenue producing space with distributed capture systems.
So what's the cost savings to your company by implementing distributed capture?  A recent study by AIIM shows a very strong return-on-investment (ROI).  The average ROI was between 12 and 18 months!  For most of us, that's a significant return, one sure to make your accountants smile.
Going green makes sense.  It's a great way to be a good corporate citizen and a great way to make money.
